Campsite Terms and Conditions

The purpose of this document is to define commercial terms and conditions related to all campsites and activities operated by The Scout Association of Australia, Queensland Branch Inc. ABN 67 019 153 391 (Scouts Queensland)


1. Core Terms

1.1. Use of Scout campsites, campsite activity centres, and/or participation in related activities shall only be available, after payment of all required fees and charges, and only for
1.1.1. Current Scouting Members, , Employees and their immediate family
1.1.2. Organisations that are compatible with the Scout Movement and for the benefit of the community generally such as junior sports clubs, youth groups and schools, as approved from time to time by Scouts Queensland
1.1.3. Those designated as “Supporters of Scouting”
1.2. Campsites and activity centres are privately owned, and Scouts Queensland may at its sole discretion refuse entry or request visitors to leave.
1.3. Scouts Queensland has zero tolerance of abuse of our staff, volunteers, and other visitors.
1.4. All; visitors to site are required to adhere to any site specific campsite rules covering noise, parking, ablution blocks etc. Visitors must make themselves familiar with these rules.
1.5. By agreeing to these terms and Conditions you shall indemnify and hold Scouts Queensland harmless in respect of any liability, loss, damage, cost and expense of any nature arising out of, and/or in connection with the acceptance of your reservation by Scouts Queensland.
1.6. To the extent permitted by law, Scouts Queensland shall not be liable for any losses, damages, costs or expenses incurred by you as a result of any cancellation of your booking.
1.7. Visitors asked to leave the property or activity as a result of a breach of these terms and conditions or a breach of the campsite rules, shall forfeit any fees paid. Significant breaches may result in future refusal of service or access to Scouts Queensland's property.
1.8. Scouts Queensland may revise, alter or delete any part of these Terms and Conditions at any time without prior notice.

2. Fees and charges
2.1. All fees and charges are in Australian dollars and are subject to change without notice.
2.2. GST is applicable on all fees and charges except to Scout Formations. Advertised fees and charges will indicate whether they are GST inclusive or exclusive.
2.3. Online bookings may require a booking fee equivalent to 20% of the booking to be paid at the time of booking. Full fees for the booking are to be made 14 days before the booking otherwise the booking will be considered Cancelled and all deposits paid to date will be forfeited unless agreed otherwise and in writing by the Campsite Management Committee.
2.4. Credit card payments only are accepted for on-line bookings;
2.5. Camping areas and facilities are shared spaces, should a customer require exclusive use of space then this needs to be arranged in advance and approved in writing by the Campsite Management Committee. The exclusive use of a space may also attract a minimum use charge irrespective of the number of visitors.

3. Damages, Breakages & Additional Cleaning
3.1. The registered guest is responsible and will be held accountable for any breakages or damage incurred to Scouts Queensland's Property or within the associated venue including those by third parties.
3.2. Scouts Queensland's property, facilities and equipment are to be left in a clean and tidy as a condition of use. As such Scouts Queensland reserve the right to on charge guests for additional cleaning should the facilities or sites be left in an unsatisfactory condition, as determined at the sole discretion of Scouts Queensland's staff.
3.3. Scouts Queensland reserves the right to process any additional charges incurred to the credit card provided.

4. Camp Permit
4.1. Where a permit is required, it must be up to date, displayed prominently, visible from outside of your camping area, and be on display for the duration of your stay.
4.2. Failure to display a valid camp permit, where required, may result in the cancellation of their booking and the forfeiture of any fees paid.

5. Change to your booking
5.1. Bookings may be altered up to fourteen (14) days prior to the arrival date or activity date, subject to availability.
5.2. Once an alteration is made, if the reservation is then cancelled, then this shall be treated in line with the Scouts Queensland cancellation policy from the date of the original booking
5.3. To make a change to a booking, contact is made through the respective campsite or activity centre email address and/or phone number.

6. Cancellations
6.1. Where at least fourteen (14) days’ notice is provided for a cancellation, then a full refund will be available.
6.2. If the cancellation is made with less than fourteen (14) days’ notice of the reservation arrival date, no refund or credit will be given.
6.3. No refund will be given if a customer fails to arrive on the reservation date.
6.4. To cancel a booking, contact is made through the respective campsite or activity centre email address.

7. Extending your stay
7.1. To extend a stay, a customer should discuss this with the campsite staff as soon as possible, and make the arrangements through the relevant online booking platform if available or the campsite staff, if a booking platform is not available.
7.2. Extension of your stay shall be subject to camping area availability and provided that the total length of stay (including the extended time) doesn’t exceed a maximum of 14 continuous nights.

8. Early departure
8.1. Once a customer has arrived onsite, if you decide to leave early, except in the case of an extreme weather event, all fees for the remaining part of the booking shall be forfeited and no refund or credit shall be given.

9. Extreme weather event
9.1. If a campsite is closed or an activity cancelled as a result of a weather event, such as Fire Danger or extreme weather, a refund will be available for the effected booking period, prorated against the duration of the stay completed.
9.2. This applies to visitors/participants whose scheduled arrival date coincides with a declared campsite closure, or visitors/participants who are already on-site and their stay is shortened as a result of the campsite closure.
9.3. Requests for refunds must be made within 30days for all or part of the applicable fees
9.4. For campsite visitors who had their stay shortened, where at least 50% of the activity has been run, no refund will be given

10. Privacy
10.1. All information about our visitors/participants is subject to the Scouts Queensland Privacy Policy available at www.scoutsqld.com.au

11. Personal Property
11.1. Scouts Queensland takes no responsibility for any personal possessions that are lost, stolen or misplaced whilst on the site.
11.2. Any lost property found on the premises, not clearly associated with a current booking, may be disposed of without notice. Scouts Queensland accept no responsibility for contacting individuals in relation to lost property.

12. Length of Stay
12.1. Camping areas are available on a short-term basis only (maximum 14 nights). 
12.2. The camping areas are not available for temporary housing purposes.
12.3. The aggregate maximum stay at all Scouts Queensland properties, in any twelve-month period, by members of the community or 'Supporters of Scouting' is 100 days. 
12.4. Following any stay, there must be a minimum two (2) days away from any Scouts Queensland property, before being allowed to return, this is subject to not exceeding the maximum number of days as specified in 12.3.  


13. Supervision of Campers
13.1. Campers must have a supervising adult over the age of 18 years present at all times, unless it is specifically related to an official approved Scouting activity, as defined in Scout Queensland operating procedures.
13.2. Scouts Queensland reserves the right to prohibit entry to persons to our sites who do not meet the supervision requirements as defined in 13.1.

14. Visitor policy
14.1. Day visitors must report to the Caretakers or Activity Leader and may be required to pay a day use fee prior to entering the site.

15. Office Hours
15.1. The operating hours for the office shall be posted on site or as advertised but may be subject to change.
15.2. It is recommended that you allow yourself time to set up your tent or caravan before sunset so you have daylight hours to settle in. Please note that Queensland does not have Daylight Saving time.

16. Evacuation Plan
16.1. Please ensure you familiarise yourself with the evacuation plan for the site, in the event of an emergency.
16.2. A copy of the evacuation plan is located outside the campsite office or from the activity leader, where you check in.
16.3. In case of an emergency, please remain calm and follow instructions from staff and emergency services.
16.4. The emergency phone number for Fire, Police and Ambulance is 000.

17. Safety Plan
17.1. Scouts Queensland reserves the right to request safety documentation related to any booking. Safety documentation includes, but may not be limited to safety plans, risk assessment, incident reports. Failure to provide the documentation within a reasonable time frame may result in the cancelation of booking and forfeiture of any fees paid.

18. Camping or Activities Under Trees
18.1. Seemingly healthy branches can fail unexpectedly (“Sudden Branch Drop”). Healthy and well structured trees can and regularly fail during strong wind events due to the sheer force of the winds. Healthy and well structured trees can also uproot as a result of a SOIL FAILURE which would generally occur after a protracted period of heavy rains leaving the grounds sodden.
18.2. Should visitors decide to camp, place equipment, park vehicles or run activities under trees or with fall risk of trees they do so at their own risk. By acceptance of these terms and conditions visitors agreed to indemnify Scouts Queensland against Cost borne of Harm resulting directly or indirectly from an tree limb or tree falling:

19. Commercial Use of Site
19.1. There shall be no commercial use of Scout freehold or leasehold property without explicit written consent from Scouts Queensland

20. Media
20.1. The production of media for commercial purposes or public distribution is prohibited without the explicit written consent of Scouts Queensland. Any individual or group found to be in breach of this policy shall be asked to leave, delete any recordings made and forfeit any fees paid
20.2. Scout youth members shall not be recorded or photographed by visitors for any purpose.
20.3. Drones are not permitted to be flown on Scout property without prior approval.

21. Breach of terms and conditions
21.1. By agreeing to our Terms & Conditions of stay, you acknowledge that you are responsible for any and all of your guests, and equipment that are bought into the Camping Grounds. If you or your visitors breach any of the above terms and conditions, you may be asked to leave the campsite and no refund will be given.
