Activity Description

When a Scout Group makes a booking within the CheckFront System they will not know their final attendance numbers. Under the direction of their respective Campsite Management Committees, Caretakers/wardens are responsible for confirm final numbers 

This document defines the process required to update the numbers in CheckFront and close the booking from a campsite perspective

Procedure Steps

1.

Confirm final numbers with leader in charge of internal scout booking. This must be done while they are attending site

Login in to check front, and open booking

Click on the edit tab

Check on the change button, next to the “Baden Powell Scout Camping” inventory item:

Adjust the number listed in the “Qty” field to match the number of attendees, including leaders

Then click save

Click on the Invoice tab

Add a note to say the following text:

Final numbers confirmed as <##> youth and <##> leaders as confirmed with <leaders name> onsite


And click on the Show on invoice button, and then create

Change 
the booking status to “READY TO INV”

From this point the Branch Support Office will handling the invoice, accounting treatment and account payable
