Frequently Asked Questions (FAQs)

Frequently Asked Questions (FAQs)

Whom can I contact if I have a question about the online form?

For user questions, please contact the helpdesk at helpdesk@scoutsqld.com.au. If you experience technical issues with the form, please contact the IT department via their helpdesk at techsupport@scoutsqld.com.au.

Are the paper-based applications still available and accepted?

In some exceptionally rare circumstances, an applicant may still need to access a paper-based form such as in the case of a Youth Member who is in foster care. In these cases, please request a pre-populated form from the Branch Support Office at membership@scoutsqld.com.au providing the applicant’s name, Scout Group and contact information. A partially pre-populated application form with an application number will be generated and returned for distribution to the applicant. The changes to the process and data collected no longer suit the former A5, A1, A60, A33 forms and therefore these forms have been discontinued as of October 2022.

How can I help parents/carers select the right Group in the online form?

There are customisable invitation templates available for you  to distribute to potential Members including a flyer that will help guide them to the forms and which Group to select. See the article Invitation to join email and flyer templates to download.

Where can I access and submit the online reference check information?

The applicant will provide the referee’s names and contact information when they complete their online form. This information is visible within SMS and includes space for the team leader to enter the responses to the questions after contacting the referees.

Please note that you will need to have the answers for both reference checks before endorsing the online form.

More information can be found in the Support Hub article Team Leader review and endorsement

Are referees and reference checks required for Rover Scouts, Youth Program Supporters and Youth Helpers?

No at this time, reference checks required for Youth Program Supporters, Rover Scouts and Youth Helpers. Please enter "Not required" into the fields. This only applies to Youth Program Supporters, Rover Scouts and Youth Helpers, all other adult appointments require the reference checks to be performed.

Replacement Committee Members

If the application is a replacement committee member please enter a note into the field on the Comments page. This will notify the Branch Support Office that an enrolment fee is not required. The former committee member needs to be transferred or resigned in conjunction with the new application.

Rover Scouts

Rover Scouts need to complete the Adult Member application and choose Rover Scout from the Appointment selection box on page 4 of the application as shown below.
