How to host your event on the Activity Management System (AMS)
We have streamlined the process for hosting your event on the Activity Management System.
In Queensland, all Tier 4 events and above must be hosted on the Activity Management System, unless agreed to by the ACC Major Events. This includes District and Region events that meet the threashold, and other large scale camps and activities organised across Queensland.
To have your event hosted on AMS, there are three simple steps:
- Complete the request form available here: Scouts Queensland Event Registration System Request
- Teams Meeting with the system admins to work through what the system is capable of, and defining the scope of what AMS will look like for your event. You will also be asked to complete the below attached template prior to applications opening.
- Test the application process, and advise of any changes before opening.
The request form is a slimmed down form to make it easier to start the process. Some of the things you will need to consider as an event organiser when choosing AMS, as we will need these details to set it up, include:
- When do you want applications to close?
- What does the payment schedule look like? When are payments due, how much, are they split, do they vary between participant/staff types
- Stylisation - what section do you want it to look like?
- Is it limited numbers to attend?
- What information do you need to capture that is unique to your event? i.e. every event will capture Medical Info, Personal Details, Next of Kin, and Leader Information - is there anything specific to just your event?
- Are there any adventurous activities on offer? Any special waivers or notices that need to be given in advance?
- Do Leaders/Staff need to nominate their preferences for what Jobs they want at the event? Is this a customised list?
- Do you want to allocate participants and staff into Units and Subcamps?
- Do you want to assign Leaders/Staff into specific jobs onsite?
