Microsoft 365 Migration - Setup Instructions

These are the instructions for how to set up your new Microsoft 365 account within the national tenancy.
Before proceeding, it is recommended that you read through the Overview & FAQ for a full explanation first.

What do I need to do?

After the migration is finalised on the 28th, you will need to do the following:
  1. Remove existing Multi-Factor Authentication (MFA) from your existing Authenticator app
  2. Log into your new account using membernumber@scoutsqld.au
  3. Update your password and
  4. Set up new Multi-Factor Authentication (MFA).
To prevent confusion, it would be best that you also remove the old MFA setup linked to your current account before doing so. The instructions for each step can be found below.
You will not need to download and store any of your data yourself as all email history and OneDrive files will be migrated as well.
When logging in for the first time, it is recommended that you log in on a computer, with your mobile phone or other smart device ready to set up MFA rather than doing both on one device.

Remove MFA

Complete this step first to avoid complications when reconfiguring MFA.

The following screenshots are from the iPhone version of Microsoft authenticator, though the appearance across other apps and devices will be similar.
If you have already set up multi factor authentication on your mobile phone or tablet, you will need to remove Scouts Qld from the app. Open Microsoft Authenticator on your device, then select the Scouts Qld account.
On the following screen, select the gear in the top right to open the settings. Then click remove account, then continue.
  
Your old Scouts Queensland Microsoft 365 account should now be removed from Microsoft Authenticator.

Login and Reset Password

You can reach the Microsoft 365 login screen via the MS365 link on the top of the Members Home site or the direct link is: https://portal.office.com
Enter your email address then click Next. Then enter your temporary password and click "Sign in."
 

You will then be prompted to update your password. In the "Current Password" space, type in the temporary password that was sent to you, then type in a new password in both spaces.
Please ensure that the password is over eight (8) characters long and contains at least three (3) of the following:
- A lower-case letter.
- An upper-case letter.
- A number.
- A special character. (eg ! @ # $ or %)
Also make sure that the password is typed the same way in both "New Password" and "Confirm Password" otherwise the system will not accept it.



Configure MFA

The next step is to reconfigure Multi-Factor Authentication (MFA) on your account through the Microsoft Authenticator App (or your chosen authenticator app).
For this, you will need to have a smart device with you. Sign into your account and press Next on the following pages until the QR code is displayed.
When the QR code is displayed, DO NOT click next yet
If you would like to use an authenticator program other than Microsoft's, click "Set up a different way to sign in" and follow the instructions from your chosen app.

      

Open the Microsoft Authenticator App on your mobile phone, tablet, or other smart device and click the plus icon in the top right of the screen to add a new account, then select the Work or School Account option, then Scan QR code.

The app will open the camera, line it up with the QR code on your computer screen and it will automatically add the account.
When asked to allow permissions for notifications and camera use, click Allow.


      

Now that the app has been set up, click Next on your computer and a code will be generated. On your App, you will be prompted to enter the code as shown below:


      

If done correctly, you can click Done to move to the next page.

Open Shared Mailboxes

If you have access to a shared Mailbox related to your role, you will need to open it once you are logged into Microsoft 365.
Open the Outlook app and then follow the instructions linked below.

Please note, the address for your Shared Mailbox will have changed after migrating. The list of standard mailbox addresses can be found in the Overview & FAQ Article.
